Sometimes a customer wants something custom, wants to pay by EFT, or has reached out by email instead of through your storefront. Manual orders let you handle these cleanly without leaving your dashboard.
When to use a manual order
- A customer asked for a custom quote and you are sending them the final price to pay
- You want to invoice a business client by EFT
- You are recording an in-person or offline sale for your records
- You want to gift an item to someone without charging them
Create a manual order

Open Orders and click Create order
In the Create order dropdown, pick the type of order you are sending — Physical product, Digital product, Booking / appointment, Membership, or Event ticket. A blank order sheet opens.

Add the customer
Search for an existing customer or add a new one with their name and email.

Add the items
Add one or more products from your store. You can adjust the quantity and the price per line.

Add shipping if relevant
For a physical order, set the shipping address and pick a shipping rate (or enter a custom amount).

Pick how the customer will pay
Three options: Send Payment Link (email the customer a link to pay online), Paid Order (you have already taken payment in person, so it is confirmed right away), or Free Order (no payment required — for gifts or comp tickets).

Send to the customer
If you picked Send Payment Link, click Create — the customer gets an email with a link to pay. Free and Paid Order are confirmed straight away. Either way, the order is tracked like any other.
Manual orders count toward your stats
They show up in your sales reports just like storefront orders, so your numbers are accurate no matter how the sale happened.
Frequently asked questions
How does the customer pay an invoice?
They get an email with a Pay now link. Clicking it opens a secure payment page where they can use a card or other supported method, just like checkout.
What if the customer pays me by EFT or cash?
Use Paid Order — that mode is for payments collected outside the platform (cash, EFT, card machine, you name it). The order is created already confirmed.
What if the payment link does not work?
Open the order and use the Send dropdown — it can resend payment links, receipts, and delivery updates. Payment links stay valid until you cancel the order or it is paid.
Can I edit a manual order after I create it?
Once the order is created the items and totals are locked, just like a storefront order. If you need to change the goods, refund and create a fresh order — that way the audit trail stays clean.
