Check guests in at the door

Scan QR codes or search by name to check guests into your event from a phone or tablet.

Check-in mode is the tool you use on event day. Open it on a phone or tablet, scan the QR code on each guest ticket as they arrive, and watch your guest count update live. No printer, no paper list, no manual ticking off.

What you need before you start

  • A ticketed event you have set up in your store
  • A phone or tablet with a camera (laptops with webcams work too)
  • Wi-Fi or mobile data at the venue
  • The team members who will help on the door, set up with a check-in role

Open check-in mode

    Open Orders, then Ticketing

    In your dashboard sidebar, click Orders, then Ticketing. You will see every event you have set up, with how many tickets have sold.

    Pick the event you are running today

    Click into the event to open its details.

    Tap Check-in mode

    The Check-in mode button is in the top-right of the event page. Tap it to open a clean, full-screen view designed for the door.

Check guests in two ways

Check-in mode has two tabs at the top — Scan QR Code and Manual Lookup. Switch between them as you need.

    Scan QR Code

    Point your camera at the QR code on the guest ticket (in their email or saved to their phone). The ticket is recognised, checked in, and the guest count goes up by one — usually in under a second.

    Manual Lookup

    No QR code or the camera is being difficult? Switch to Manual Lookup and search by name, email, or ticket number. Pick the right guest from the results and tap Check in.

What you will see after each check-in

Successful check-ins show a green confirmation with the guest name and clear after about 4 seconds so the next guest is in front of you. If a ticket has already been used, you see when it was used — handy for catching duplicates. Cancelled or refunded tickets are blocked automatically, and unknown ticket numbers come back as "not found" so you can sort it out at the door.

Track progress as you go

A live progress bar at the top of check-in mode shows how many guests have arrived, how many are still expected, and the percentage checked in. The stats refresh every time you scan or search, so anyone watching the door knows where they stand.

Let your team help on the door

You do not have to do check-in alone. Invite a team member and give them the check-in role — they will be able to open check-in mode for your events but will not see the rest of your dashboard. It is the safest option for casual helpers, door volunteers, or hired event staff.

Set up your team before the day

Invite your check-in helpers a day or two ahead so they have time to accept the email and sign in. On the night, they just open your store, sign in, and head straight to check-in mode.

Have a backup plan for spotty Wi-Fi

Venues can be unpredictable. Before the event, open the event page and export the guest list to a spreadsheet. If the internet drops at the door you can switch to ticking guests off the printed list, then reconcile in check-in mode once you are back online.

Check-ins are recorded

Once a ticket is checked in, it is marked as used. If you let someone in by mistake and they come back later, the second scan will flag the ticket as already used — get in touch with support if you need to reverse a check-in.

Frequently asked questions

Do guests need to print their tickets?

No. Most guests just show their ticket email or save the QR code to their phone wallet. Printing still works — the QR scans the same either way.

Can two helpers check guests in at the same time?

Yes. Each helper opens check-in mode on their own device and works independently. Every check-in is recorded centrally, so the same ticket can never be scanned in twice across devices. Each device updates its own count when it does a check-in or reloads — if you want the freshest total mid-event, pull to refresh.

What if a guest lost their ticket?

Use Manual Lookup to search for them by name or email. As long as the ticket exists and has not been used, you can check them in straight away.

Can someone with the check-in role see my sales or customers?

No. The check-in role only opens check-in mode. They cannot view your other orders, products, customers, or settings.

What happens to refunded tickets?

They are blocked at check-in. If you scan a refunded or cancelled ticket, the result tells you it has been cancelled so the guest does not slip through.
